Private Party Booking Terms
PAYMENT TERMS.
DEPOSITS:
- A 30% non-refundable deposit must be paid to confirm your booking. Failure to do so may result in your requested date and time being allocated to another party.
- Full Payment for parties and for hires must be made either by cheque/BACS 1 week prior to the event to allow 5 working days for the cheque to clear OR by cash on the day of the event.
- Cheques should be made payable to ‘Shuffles Entertainment Ltd’, please write your name, address and your card number on the reverse.
- Bounced cheques will be charged at £5.00 per item to cover administrative costs and bank charges.
- Postponements within 72 hours of the party date may be subjected to a cancellation fee equivalent to the amount of the deposit paid. It is up to the discretion of Shuffles Entertainment in deciding whether or not the cancellation fee will apply.Party deposits are not transferable to another date in the event of a last minute cancellation.
Cancellations will incur the following charges:
- Less than 1 weeks notice - 100% of the booking value.
- Within 1 months notice – 75% of the booking value
- 1 month+ notice – may be subject to a cancellation fee equivalent to the amount of deposit paid – unless we are able to fill the cancelled slot or at the discretion of Shuffles Entertainment.
OUTDOOR BOOKINGS:
- In the event of wet weather, the decision whether or not to proceed with a planned outdoor party will be made in consultation with the party organiser no earlier than the day before the party is scheduled to run.
- Shuffles will endeavor to provide you with an alternate party suitable at your venue.
BOUNCY CASTLES & INFLATABLES
Please check individual hire terms as these differ for each unit.
General:
- Please check the space available at your venue to ensure that the inflatable you have booked will fit well, especially ceiling height requirements.
- Whilst the entertainer will ensure maximum safety of the children where possible with any party by safely setting up the equipment, parents will still be required to supervise children on the Inflatable’s. Parents will be informed as to the safety information prior to any hire.
- Please note the safety limits on the inflatable parties.
- If your numbers exceed the safe limit you may be required to change your party package or add an additional Inflatable to cater for the additional children.
- We will require 1-2 plug points at the venue and easy access.
- If booking large inflatable equipment, please bear in mind that the equipment is heavier and will take longer to set up if access is more difficult.
- All inflatables are tested annually to EU safety standards as is required by law. Certificates are available upon request.
GENERAL
- The published cost of a Shuffles party does not include the hire of indoor venues or food
- Party activities, dances & games may differ from one party to the next as all parties are tailored to suit the age, group size, venue and any special requests.
- When booking your venue we will generally require 30 minutes set up time prior to the party.
- Sweets are included in the party package. Please do mention in advance any specific allergies that your child or guests may have. Vegetarian sweets are always available. Sweet free parties are also available at the additional cost of £10 to cater for additional prizes for children (<30) or hosts can provide their own prizes. At an additional small charge we can also source Halal or Kosher sweets or customers can provide their own for party handouts. Please note that we do our very best to research our sweetie products and provide the appropriate guidance for customers on allergens but we cannot fully guarantee that products will not be packaged in a nut free environment.
- Larger inflatable units may require up to 1hr set up time. Please note the limits on numbers on all parties in particular the inflatable and sports parties.
- We will normally reconfirm final numbers attending one week before the set party date.
- The party organiser is responsible for their guests before and after the party.
- Please ensure that guests wear suitable attire and footwear for football and sports parties.
- Adults/ Organisers must be present and available to supervise the children at all times during the party. Shuffles Entertainment will not be responsible for any child that leaves the party at any stage during the event.
- Shuffles Entertainment reserves the right to make any changes to the activity and games plan that is deemed necessary to ensure the most successful outcome. Such changes may be triggered by (but are not limited to) weather, venue hazards & restrictions, guest numbers & age and ability levels.
- Shuffles Entertainment reserves the right to request the removal from the party, any child causing significant disruption or safety risk to themselves or other guests. If the request is refused, Shuffles Entertainment reserves the right to terminate the party.
- The 2 hour party includes a scheduled break for food. During this time the entertainer will be happy to assist you in keeping the children at the table, background music and coordinating the singing for the birthday cake. If a break is not required, entertainment will be provided for 1½ hrs only unless special arrangements have been made in advance.
Disclaimer:
Sporting activities require physical exertion and include inherent risk of injury. Participation by your child or children is your acceptance of that risk, on their behalf. Shuffles Entertainment will not accept liability for the injury of any child at a Shuffles party.
Health & Safety:
- We are Insured for public liability to £10m.
- Although this is not a legal requirement, entertainers are DBS Checked.
- All Inflatables are safety checked annually by a RPII inspector. Test certificates are available on request.
- A small number of our inflatables in addition are tested via the PIPA scheme to comply with inflatable hire for Leeds City Council's requirements.
- All inflatables & activities are checked according to a risk assessment
- All inflatables and activities are covered with £10m public liability insurance.
- All electrical equipment is PAT tested.
Shuffles Entertainment are members of the British Inflatable’s Hirers Association (BIHA) and The Inflatable Play Enterprise (TIPE) We are committed to improving our standards and service. -
Please do not hesitate to ask to see these documents and certificates, as they will happily be provided.
Notwithstanding, Shuffles Entertainment is committed to safety and will:
- Endeavor to find out relevant health information pertaining to the birthday child and his / her guests.
- Make any changes necessary to the activity and games plan as required, as a result of point I. above or where final numbers attending the party are higher than is safely recommended.
- Reserve the right to restrict or prohibit the participation of any child believed to be at risk as a result of point I. above.
- Ensure that all activities planned have been checked against a thorough risk assessment.
- 3rd party Face Painters, singing princesses, mascot appearances, Balloon artists carry their own PL insurance documents & risk assessments of activities. When booking with an artist please check their policies and documents.
